Minimum Qualifications Eligible List: Candidates must be reachable for appointment on Current Civil Service Eligible List for this title.

OR

Transfer: Candidates must have one-year permanent competitive service as an Administrative Assistant 1 and be eligible for lateral transfer under Section 70.1 of the Civil Service Law or candidates must have one year of permanent competitive or 55b/c service in a title SG-09 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND have completed all required mandatory and elective coursework**.

Administrative Assistant Trainee 1:
Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-06 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.**
Administrative Assistant Trainee 2:
Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-08 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory coursework**.
**Incumbents will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to Administrative Assistant 1, G-11.

Candidates that are not currently incumbering or have not previously held a keyboard or secretarial title, will have to take and pass a typing proficiency exam to qualify for transfer.

The position may be filled at the Administrative Assistant Trainee 1 level equated to SG-8, $39,215, Administrative Assistant Trainee 2 level equated to SG-10 $43,768, or full performance Administrative Assistant 1 SG-11, $46,306, based on education and experience. Candidates hired at the trainee level will be advanced to the full performance Administrative Assistant 1 SG-11 following the successful completion of the traineeship.

Duties Description Duties include but are not limited to the following:

- Develop and oversee administrative procedures and operations.

- Oversee office inventory and the ordering office supplies, equipment, etc.

- Provide support to the Plant Superintendent and other Maintenance Supervisors as needed.

- Respond to requests for information and provide support to Central Office of Property Supports and Emergency Services staff.

- Create and maintain presentations, spreadsheets, and database applications.

- Create forms, correspondences, and word processing applications.

- Set up meetings and webinars using Microsoft Teams, WebEx, and Zoom platforms.

- Prepare materials for meetings, distribute event invitations, and facilitate webinars.

- Take meeting minutes and track follow-up items as needed.

- Develop a working knowledge of the Property Supports and Emergency Services work order program and perform data entry tasks and retrieve information as needed.

- Answer telephone and direct calls.
