This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactory performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS titles, employees may take part in a promotion examination for which they are qualified.

Duties Description
The incumbent of this position will perform the following essential functions:

• Supervise Office Assistant 1s, assign work, help prioritize duties, review LATS and approve time off while insuring coverage of phones and duties.
• Answer calls or direct to the appropriate staff member and take messages as needed.
• Assist with FOIL Appeals
• Assist travelers with completing expense reports on Statewide Financial System.
• Enter pertinent information into computerized databases and case management systems.
• Prepare certified and overnight mail, photocopy and scan documents, organize large volumes of documents, send and receive faxes, and perform other routine clerical functions as required.
• Learn, maintain, and update skills in computer technology; manipulate an alphanumeric keyboard to utilize various computer systems and applications including tax specific applications, e-Mail etc.
• Edit, proofread and format documents, memos and letters as well as generate reports and maintain records as needed.
• Demonstrate a knowledge, understanding and correct application of standard office procedures.
• Follow Department rules and Division procedures and policy, including, but not limited to, Code of Conduct, ethics practices, security and confidentiality rules.
Adhere to the Department's time and attendance rules and regulations.
