Minimum Qualifications Education Level required: BA in related discipline preferred; or a 2-year degree with a minimum of 5 years’ experience; Or, any equivalent combination of direct relevant experience and/or education from which comparable knowledge, skills and abilities have been achieved. Public sector experience a plus.

Relevant experience required: 1-3 years of administrative, customer service and project management experience within a corporate office environment.

Knowledge required: Ability to work as part of a team with high level of customer service and coordinate multiple projects at the same time; Strong proficiency in MS Office Suite (MS Word, Excel and PowerPoint). Excellent written and oral communication skills combined with a confident business demeanor. Will have frequent access to highly confidential information and files which must be kept confidential.

BASIC FUNCTION:
Provide administrative and project management support to the Managing Director and investment staff of New York State’s SSBCI Venture Capital Investment Programs SSBCI.

WORK PERFORMED:
• Coordinate and support administrative activities for the SSBCI Emerging and Regional Partner Program Fund (ERPP- including its associated Community and Regional Partner Fund).
• Reviewing input from program manager, gathering documentation and data for reporting, tracking of investments and maintaining retention and organization of related documents.
• Coordinating the fund payment and disbursement process including assembling and tracking documentation, authorizations for funding.
• Assist the Operations Associate with supporting other SSBCI investment programs including the Pre Seed and Seed Fund (PSSF) and the NYS Innovation Venture Capital Fund.
• Manage the preparation and distribution of quarterly/annual program tracking and monitoring reports; collect and consolidate performance data; interface with internal and external stakeholders (as needed) and use SurveyMonkey or other data collection tools.
• Coordinate marketing activities including the maintenance of the NY Ventures website, social media profile and preparation of press releases, newsletters, events and provide support for sponsorship activity.
• Supporting and working closely with the Operations Associate on the other shared and related activities.
• Schedule meetings, support calendar management, reserve space for meetings and team gatherings and reserve workspaces for visiting team members.
• Coordinate travel plans for travel and filing for reimbursement of related expenses; and assisting the expense team with any clearance issues for Travel Authorizations and Expense Reports.
• Draft bi-weekly agenda for meetings including general tracking, updates and items/materials for discussion.
• Develop an understanding of the team’s programs as well as ESD operations and procedures.
• Assist Operations Associate and team as needed with the coordination and preparation of presentation materials for the ESD Board of Directors, ESD senior management, and outside audiences and completing the checklist sign-off process amongst each of the needed departments.
• Handle departmental communication in a professional and courteous manner, responding to general inquiries, and directing information requests to the appropriate department or individual for further assistance.
• Demonstrate resourcefulness in setting priorities, self-learning, streamlining internal processes and be flexible with using several software’s.
• Other duties/projects as assigned.
