Job Specifics

Duties Description Duties will include use of Microsoft Office, Adobe Acrobat, the Statewide Financial System (SFS), NYS Contract Reporter website. The selected candidate will perform the following tasks for the Construction Contracts group, including but not limited to:

• Coordination of posting construction opportunities/documents/results through DOT’s website and the NYS Contract Reporter’s website.

• Prepare public notification / advertisements and coordinate with appropriate publications (e.g. local newspapers, industry publications) to comply with statutory requirements.

• Administrative support functions for Construction Procurements such as: coordinating use of (and preparing) the bid room for lettings, involvement in formal bid openings, and receiving/entering any paper bids into appropriate database(s), including AASHTOWare’s Pre-Construction system.

• Coordination of internal and external approvals of Construction Contracts, including, but not limited to, responding to inquiries from the contracting community (i.e. e-mail, phone calls) of contract award status, report generation, organization and compilation of digital documents, and transmittal through Electronic Document Submission System (EDSS).

• Use NYS Statewide Financial System for Purchase Card (P-Card) reconciliation as needed for Advertisement and miscellaneous purchases.

Candidate must possess strong organizational and interpersonal skills. Attention to detail, as well as the ability to handle multiple priorities and ensure deadlines are met are essential, as are the ability to communicate with suppliers, the public, and all levels of agency staff. Work experience in procurement and proficiency in the Statewide Financial System (SFS) is preferred.

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations..

Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
