Job Specifics

Minimum Qualifications You must hold or have held the title of Office Assistant 1 (Keyboarding) or be reachable on the full-time NYS Civil Service list and respond to canvass letter that will be sent to people on the eligible list.

Duties Description Summary: Responsible for providing clerical support for the Student Conduct Office. This position assists with office administration and duties and involved excellent computer skills, exceptional attention to detail, and extensive contact with students, faculty, staff and the public.

Major Responsibilities:
Provide reception for the office including answering phones, taking messages, referring clients to appropriate sources and making follow up calls for the director and associate director, and greeting walk-in clientele.
Scheduling appointments and meeting for the director and associate director and greeting walk-in clientele.
Data entry and letter generation within the student conduct database on Banner Web. Schedules incident review meetings and assist in prioritizing caseload in handling serious cases in a timely manner.
Preparing case files for appointments; pull files for meetings for the director and associate director on a daily basis.
Photocopying, scanning, mailing, emailing, and faxing information for case files.
Assist the administrative aide with scheduling hearings, signing students up for community service and/or substance education.
Maintain Excel database of students who are arrested by the City of Cortland Police Department and prepare letters to students who have been arrested on behalf of the director, scan letters into electronic file through OnBase.
General filing and other office duties as requested by the director/associate director.

Additional Comments You may also qualify if you are permanent in one of the following titles: Office Assistant 1. You must also pass the Civil Service typing test, which can be administered in the Office of Human Resources.
