Job Specifics
Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.
Candidates must have permanent status as a Secretary 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law. In order to be eligible for a 70.1 transfer, candidates must have one year of permanent competitive or 55-b/55-c service in a qualifying Grade 9 to 13 title.
Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
Duties Description The Office of Mental Health (OMH) is recruiting to fill one permanent Secretary 1, Grade 11, position at the Cook Chill Production Center (CCPC) located in Orangeburg, New York. CCPC produces wholesome food that meets the nutritional and budgetary needs of its customers, which include OMH facilities, other state and government facilities, and non-profit agencies. Cook Chill is a system which prepares large quantities of food with an extended shelf life. The incumbent of the Secretary 1 position is responsible for assisting in the production of food products for OMH customers.
Duties may include, but are not limited to:
• Open, review, sort and distribute the mail in accordance with staff assignments.
• Answer the telephone, respond to questions concerning policy or procedures and refer calls to appropriate staff member for very technical information.
• Photocopying and scanning documents.
• Respond to questions concerning program, policy and procedure. Refer most complex technical questions to appropriate staff. (i.e., Secretary must have significant knowledge of program area to respond instantly to a variety of procedural and policy questions. In cases where more detailed answers are required or background-information is needed, research problems completely with program staff. If question is very technical and requires original interpretation of program area, refer phone call or visitor to correct program staff.)
• Monitor and track status of program activities.
• Prepare responses to letters concerning program, policies and procedures for own or supervisor's signature.
• Review outgoing correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy, program information and conformance to instructions. Insure that appropriate background material is attached.
• Design, set up and maintain files (including electronic) of correspondence/documents, code and file material, search for requested material and periodically purge obsolete material for storage in records center or for disposal.
• Act as a Liaison for Central Office Personnel and payroll(LATS).
• Schedule meetings and maintain calendar using Microsoft Outlook and Webex
• Make travel arrangements and prepare travel vouchers.
• Transmit instructions from supervisor to appropriate staff orally, in writing or electronically and follow up to see that instructions are followed and deadlines are met.
• Supervise and mentor clerical staff ensuring assignments are completed thoroughly and timely.
