Job Specifics

Minimum Qualifications You must be a NYS employee, salary grade 9 or above, who is eligible to transfer via Section 70.1 of the Civil Service Law to the Legal Assistant Trainee title.

If not already completed, all TRAINEES are required to successfully complete six courses in paralegal studies and related skills from an accredited college or university, and one or more college or training courses in writing skills, within the two-year traineeship.

Duties Description • Support Assistant Attorneys General (AAGs) assigned to a Section and other Bureau staff in the drafting and preparation of forms, correspondence and legal documents for state and federal litigation and for proceedings before state and federal agencies (e.g., legal research and cite-checking, and review and/or drafting of legal pleadings, discovery demands and responses, motions, memoranda and briefs, affidavits, privilege logs, correspondence, etc.).
• Open and input new litigation cases into agency case management system, and update database entries as needed.
• Maintain and update hard copy and database records of all cases that are assigned to the Section.
• Conduct factual research on the Internet, as well as legal research on Westlaw and Lexis-Nexis.
• Access and utilize Internet-based research tools and electronic docketing databases.
• Organize and manage litigation documents using both electronic (including, but not limited to, Relativity, Concordance, Clearwell, and/or other platforms) and hard copy document management systems.
• Index, categorize, review, redact, duplicate, and Bate-stamp documents produced in discovery, including electronic indexing, and create production charts and privilege logs.
• Set up and maintain case files, which are organized chronologically, numerically, and/or by subject matter, including electronic case files.
• Prepare chronologies of facts and case activity, including preparing these in MS Excel or MS Word.
• Maintain and update Section Libraries, Brief Bank, and MS Outlook Calendars.
• Maintain and update attorney coverage schedules and calendar of court appearances.
• Proofread and cite-check legal documents, including Bluebooking legal citations.
• Organize exhibits and create document indices for motions.
• Assist in preparing and filing documents in court, including electronic filing, and service of documents on parties.
• Assist in all aspects of deposition, hearing, and trial preparation including, but not limited to, fact investigation, preparation of exhibits, and providing assistance at an actual deposition, hearing or trial.
• Prepare tables of contents and authorities, including preparing these in MS Word using styles, marking citations, etc.
• Prepare records in Civil Practice Law and Rules Article 78 cases, including organizing administrative record documents from various sources/formats, as well as creating, combining, and Bates numbering PDFs in Adobe Acrobat.
• Prepare routine templates and legal documents, including judgments, notices of entry, and notices of appeal.
• Arrange conference calls, witness interviews, court reporters, and production/copy service.
• Handle logistics, including scheduling, transportation and billing issues, for depositions, court appearances, and other events.
• Organize and index case files for archiving.
• Interface with the Managing Attorney’s Office, as well as with court clerks and staff, concerning court filings, scheduling, and other related tasks.
• Perform other duties as assigned.


Additional Comments PROFICIENCY IN THE MICROSOFT OFFICE SUITE, AND ADOBE ACROBAT XI PRO. EXPERIENCE WITH RELATIVITY, CONCORDANCE, CLEARWELL AND/OR OTHER ELECTRONIC DISCOVERY PLATFORM IS PREFERRED.
