Minimum Qualifications Interested candidates must be reachable on the civil service list for this title or eligible to transfer under Section 70.1 of the Civil Service Law.
Duties Description Under the direction of the Principal File Clerk, the candidate will be responsible for, but not limited to:
• Maintain a high level of expertise and sophistication in identifying over 390 documents as well as the indices of their images (i.e. social security number, registration number, retirement system indicator, document class, document type, and receipt date).
• Perform complicated records maintenance activities by reviewing the electronic member folder record images and confirm that they meet complex established quality assurance standards and are properly indexed to conform to eight document classes and over 390 document types.
• Establish and maintain a record of chain of custody for paper folders being transported to and from the scanning vendor.
• Reject and appropriately document any errors discovered when performing quality assurance activities on images provided by the vendor.
• Ensure that all paper documents/records are accounted for when reviewing images. Ensure that electronic records images area at least as legible as the original paper folder and are assigned to the proper index values.
• Communicate with supervisors on the status and disposition of boxes assigned for review.
• Compare and review electronic images to paper records and maintain records of scanned errors in an electronic tracking system and notify appropriate discrepancies with supervisors.
• Maintain production reports.
• Assist with vendor, indexing, training, answer Clerk 1 questions and meetings.
• Although not assigned formal supervision duties, take responsibility for carefully and thoroughly assist in training new employees in unit procedures.
• Perform additional duties as necessary to ensure the success of the project.
Additional Comments PREFERRED QUALIFICATIONS:
• Knowledge of agency policies and program policies, procedures and functions
• Ability to use office equipment such as computers, scanners, and photocopiers, etc.
• Ability to set up and use manual and electronic office record keeping and filing systems
• Ability to enter and retrieve data using an alphanumeric keyboard
• Ability to prepare reports
• Ability to read, understand and apply laws, procedures, rules, regulations and guidelines where there are not clear precedents and without detailed direction
• Ability to perform tasks accurately within prescribed time frames
• Ability to communicate effectively in writing and orally
