Minimum Qualifications PERMANENT OR CONTINGENT PERMANENT STATUS AS A SECRETARY 2 OR ELIGIBLE FOR A TRANSFER.

Duties Description •Provide secretarial support for Bureau Chief and Deputy Bureau Chief.
•Prepare, serve and file legal documents, memoranda of law, briefs, records, affidavits of service, correspondence, reports and administrative memoranda in hard copy and electronic format, and other documents as needed; create and maintain legal files; assist in electronic filing of court documents.
•Supervise and manage secretarial staff; consisting of two Secretary 1 employees. Schedule, monitor, manage, and track attendance and annual performance evaluations.
•Train and/or oversee training of support staff.
•Coordinate and manage staff support and litigation office work flow for the Environmental Protection Bureau (EPB).
•Coordinate and supervise organizing, filing, data entry, and responses to all complaints submitted to the Bureau with the Policy Advisors and other staff members assigned to these tasks.
•Respond to internal and public inquiries, questions and complaints. Forward to appropriate EPB staff, as appropriate.
•Coordinate and supervise PAM (Paper Archive Management) of EPB documents. Oversee and prepare files for archiving using the PAM database– pack up boxes, index contents of each box and enter information into the database.
•Serve as LAN and Oracle manager for the EPB. Coordinate computer needs with Administration and IT staff.
•Oversee and manage EPB office equipment and supplies; coordinating with Administration and building management, as needed.
•Act as a liaison for Bureau legal staff to other offices on administrative matters.
•Supervise and conduct data entry and searches in software data bases, including but not limited to SilverCase, Oracle, and other electronic tools maintained by the Bureau.
•Arrange conference calls, court reporters, and outside copy service
•Prepare documents for electronic filing (scanning).
•Make travel arrangements including the preparation and submission of travel vouchers for reimbursement.
•Perform other duties as assigned.

Additional Comments CANDIDATE SHOULD HAVE EXCELLENT PROJECT MANAGEMENT AND LEGAL SECRETARY SKILLS. THEY SHOULD POSSESS GOOD JUDGEMENT, INTERPERSONAL SKILLS, ATTENTION TO DETAIL, AND BE SELF-MOTIVATED. PROFICIENCY IN THE MICROSOFT OFFICE 2010 SUITE, ORACLE, ADOBE, AND BE FAMILIAR WITH DATABASE SYSTEMS INCLUDING UNITED STATES’ COURTS ECF, CONCORDANCE, RELATIVITY, AND CLEARWELL IS PREFERRED.
