Minimum Qualifications MINIMUM QUALIFICATIONS: Candidates must have one year of permanent competitive or 55b/c service as an Administrative Assistant or in a title SG-16 or above eligible for transfer under Sections 52.6 or 70.1 of the Civil Service Law OR be reachable on the Professional Careers Opportunities (PCO) eligible list OR be reachable on the Education Department’s Public Administration Trainee Transition (PATT) eligible list. Appointees from the PCO or PATT list must serve a two-year traineeship that leads to the grade 18 salary level.

Duties Description The New York State Education Department’s Office of P-12 Education is seeking candidates to fill a vacancy for the title of Administrative Assistant in the Office of Special Education (OSE). Under the direction of the Manager of Educational and Vocational Services Coordination 3, the incumbent of this position will complete a wide variety of administrative functions associated with each program area of special education, as well as key operational tasks for the entire Office. Duties of this position include, but are not limited to, the following:

• Review, edit and format all assignments, correspondence and reports (i.e., memos, letters, Requests for Proposals, manuals, Regents items, guidance documents, etc.) prior to submission to the Manager of Educational and Vocational Services Coordination 3;
• Respond to correspondence received from the general SPECED mailbox, direct the public to publications or citations in regulations or to other Department offices or web sites as appropriate to provide guidance and accurate information;
• Coordinate space details, telephone and computer equipment updates for the OSE, acting as liaison to the space planning and telecommunications offices of the Department (e.g., coordinate internal moves, request surplus equipment, process orders for floor renovations, allocation of space, etc.);
• Assist with the development of webpages for the OSE, assuring timely placement of information on the web (prepare and format memos and publications for the web, assuring that web accessibility guidelines are met);
• Maintain the office Listservs and dissemination of information to Listservs on a timely basis as instructed by supervisor;
• Coordinate information for FOIL requests for the OSE; and
• Coordinate the work of support staff and develop and implement consistent office procedures.

Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent-contingent appointment. The salary above applies to candidates appointed to Administrative Assistant, SG-18. The hiring rate for candidates appointed to Administrative Assistant Trainee 1 starts at $39,720, and for current NYS employees, is based on the candidate’s salary at the time of hire. Candidates hired into the traineeship will be advanced to Administrative Assistant upon successful completion of a two-year traineeship. Filling of this position is contingent upon Division of Budget approval.

*Leads to a maximum salary of $66,494 based on annual performance advances.
