Minimum Qualifications • Completion of a two-year Associate’s Degree in Business, Office Management or a related field preferred; High School diploma minimum.
• 3-5 years’ experience as an executive assistant, supporting senior level executive(s); 5-7 years’ experience with High School diploma.
Duties Description Reporting to the Associate Commissioner for Administration, the Executive Assistant provides executive support and serves as the primary point of contact for internal and external agency representatives. As such, the candidate must be an effective communicator, an adept scheduler, and an agile multi-tasker with the ability to handle sensitive and confidential information, prioritize competing work and deadlines, produce highly accurate work, and work with good humor and grace under pressure and tight deadlines.
Illustrative tasks include, but are not limited to:
• Organizing and arranging schedules, arranging travel and processing expense reports, meeting scheduling (in-person, teleconference, or conference call);
• Managing incoming correspondence with appropriate prioritization to ensure professional, accurate, and timely response;
• Organizing material in relation to meetings; collecting and compiling information and coordinating delivery to meeting participants;
• Drafting correspondence;
• Anticipating, identifying, analyzing and solving issues/conflicts independently and discretely;
• Supporting general office administration, including telephone coverage, mail processing & distribution, file set up & maintenance, ordering supplies; and,
• Processing and tracking invoices and other budget related activities
Additional Comments Desired Experience and Skills
• Advanced level experience with Microsoft Office applications (Outlook, Word, Excel, Access, Power Point).
• Excellent administrative, organizational, and professional communication skills (written and verbal).
• Demonstrated professional interpersonal skills – high level of motivation, integrity, self-confidence and ability to take initiative.
• Extreme attention to detail, follow-up, highly organized.
• Demonstrated ability to balance workload under short deadlines and changing priorities in a fast-paced environment.
• Ability to prioritize and manage multiple tasks simultaneously.
• Collaborative team player with proactive approach.
• Ability to ensure security of confidential information – discretion and confidentiality required.
