Minimum Qualifications This position may be filled pending DOB approval and is subject to DOB guidelines for processing personnel transactions.

The selected candidate must be eligible for appointment in accordance with the provisions of the Civil Service Law, Rules, and Regulations.

If mandatory rehiring lists exist for this title, appointment other than reassignment must be made from these lists. If there are no acceptors from these lists, appointment may be made using the following minimum qualifications:

Duties Description This position may perform the following duties:

1. Provide secretarial support to a group of attorneys including production of complex and detailed legal documents and reports as required according to required format and within established time frames and deadlines, mailings by certified or overnight mail, copying, scanning and organizing documents.

2. Open, review, sort, log and distribute incoming mail.

3. Maintain files for the unit both in hard copy and electronic formats; use Law Manager case management system for electronic files.

4. Transmit instructions from supervisors to appropriate staff orally, in writing or electronically and follow up to see that instructions are followed and deadlines are met.

5. Schedule meetings; manage and maintain calendars ensuring office coverage.

6. Answer telephones, respond to questions and refer calls requiring technical knowledge to appropriate staff.

7. Make travel arrangements and lodging reservations.

8. Accept service of process.

9. Perform other related tasks as required. Supervision may be required.

10. Meet the Department’s time and attendance rules and regulations.
