Minimum Qualifications Interested candidates must be reachable on the Agency Program Aide eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible for a 70.1 transfer to an Agency Program Aide, SG-13, a candidate must have one year of permanent competitive service in a qualifying title allocated to a salary grade 11 or higher.

Duties Description - Paraprofessional Support to Executive Director and general operations

- Provide support and assistance to the Executive Director in the administration of the Bureau. Participate in the compilation and review of reports and presentations issued by the Bureau and Division. Coordinate requests for information and evaluate the sufficiency of information provided by staff. Provide preliminary analysis on agency reports and schedules received and conduct follow-up when necessary. Perform basic tasks and queries in SFS. Collaborate with Bureau management in updating operating performance criteria including graphs and charts. Maintain records of staff training and evaluate adequacy and necessity of SFS security roles. Assist in report distribution and perform follow-up work as instructed by the Executive Director. Provide paraprofessional support including collecting and analyzing data for the Executive Directors review.

- Assist the Bureau in technical areas requiring compliance with OSC policies and procedures.

- Work with Bureau managers to maintain and keep current the procedures, policies, publications and other data posted on the Intranet for the Bureau. Assist in maintenance of various staff maintained logs, indexes, location sheets, time records and project tracking systems. Coordinate timely submission of forms and records required by OSC. Draft responses to requests initiated by Bureau management, other OSC bureaus, internal and external auditors. Contribute to Oil Spill Administration unit, Environmental unit and Accounting unit staff projects as directed.

- Administrative Support

- Provide general adminstrative support to the Bureau. Tasks may include processing incoming mail; scanning and document assembly; coordinating, arranging and scheduling meetings and greeting visitors; monitoring budgets, purchasing necessary work items such as supplies and reference material including legal treatises and subscriptions; ensuring the prompt reconciliation of procurement card purchases and handling purchase order requests with the Finance office. May assist in monitoring of OSF mailbox and respond to routine questions or direct queries to OSF staff.

Additional Comments Desired Competencies:
- Associates Degree or higher.
- Experience or coursework in environmental studies, accounting or paralegal studies.
- Proficient in Microsoft Excel or similar applications.
- Experience dealing with the public in any field.
- Excellent verbal and written communication skills.
- Able to handle multiple priorities.
