Duties Description The Office of Diversity, Equity, and Inclusion (ODEI) at SUNY Fredonia is committed to fostering an inclusive, equitable, and welcoming campus environment where all students, faculty, and staff can thrive. ODEI leads institutional efforts to promote access, equity, belonging, and success through innovative programs, collaborative partnerships, and strategic initiatives aligned with SUNY's 25-Point DEI Plan and SUNY Fredonia's True Blue Transformation Strategic Plan. ODEI serves as a resource and advocate for all members of the university community, ensuring that diversity and inclusion remain at the forefront of campus culture and decision-making.
Within ODEI are several key areas that advance this mission: the Intercultural Center (IC), which provides cross-cultural engagement opportunities and identity-based programming; Multicultural Support Services (MSS), which enhances student success and retention through mentoring and leadership development; the Native American SUNY: Western New York (WNY) Consortium, which promotes access and support for Indigenous students across the SUNY system; and Veteran Affairs (VA), which provides holistic support for military-affiliated students. Collectively, these offices work collaboratively to cultivate a sense of belonging, honor cultural diversity, and advance student success across the Fredonia community.
Key Roles and Responsibilities:
The Administrative Assistant will provide comprehensive administrative and operational support to the Office of Diversity, Equity, and Inclusion and its affiliated units (IC, MSS, Native American SUNY: WNY Consortium, and Veteran Affairs). Responsibilities include, but are not limited to:
- Serve as the first point of contact for ODEI and its units, providing professional and courteous assistance to students, staff, faculty, and community partners.
- Coordinate scheduling, meeting logistics, travel arrangements, and event planning across ODEI and affiliated fices.
- Prepare, proofread, and distribute correspondence, reports, meeting materials, DEI-related committees, task forces, and working groups, including scheduling, minutes, and follow-up communications with accuracy and confidentiality.
- Maintain and update departmental databases, records, and digital filing systems, Serve as a liaison with IT for troubleshooting and maintaining systems used by ODEI (e.g., shared drives, scheduling tools, survey platforms)
- Manage office budgets, purchasing, and reimbursements, tracking grant deadlines, preparing documentation, and coordinating submissions for DEI-related funding opportunities in coordination with the Business Office.
- Maintain inventory of office supplies, promotional materials, and cultural resources used in programming and events.
- Assist with communications, including updating websites, creating promotional materials, and managing social media content.
- Support recruitment, hiring, and onboarding processes for ODEI staff and student employees.
- Assist in organizing workshops, training sessions, and cultural events sponsored by ODEI and its affiliated units.
- Uphold the mission, values, and commitment to diversity, equity, and inclusion of SUNY Fredonia through responsive, inclusive, and professional service.
Minimum Qualifications Non-competitive (NY HELPS):
- High school diploma or high school equivalency diploma
- Two years of experience in administrative support
- Use of office software (e.g., email, word processing, Microsoft)
OR
*Reassignment Requirement: You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
*Reinstatement Requirement: You must be a former state employee to request reinstatement to the title that was held (or transferable title).
*Administrative Assistant Trainee 1 Transfer Eligibility -----------
Requirement: You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
*Administrative Assistant Trainee 2 Transfer Eligibility Requirement: You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.
*Administrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
*Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
