Minimum Qualifications Interested candidates must be reachable on the Agency Program Aide eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible for a 70.1 transfer to an Agency Program Aide, SG-13, a candidate must have one year of permanent competitive service in a qualifying title allocated to a salary grade 11 or higher.

Duties Description Employee Development
• Monitor group email account and respond to staff requests within two days.
• Serve as SLMS secondary administrator (includes but not limited to adding classes and supplemental learning); maintain staff training histories in SLMS; conduct one to one or group SLMS training as requested.
• Assist staff in logging into SLMS, locating training, and enrolling in or dropping classes.
• Research information on training opportunities for staff.
• Prepare draft correspondence (i.e., e-mails, letters and NYSLRS Bulletin Board announcements).
• Coordinate logistics and assist with all Division training needs including customized training requests.
• Provide administrative and analytical support for Employee Development Unit (EDU) including:
• Serve as coordinator for the Supervisory Academy and the Foundational Skills Development Program (including, but not limited to using Publisher or PowerPoint for desktop publishing of training program items, delivering information to participants during Orientation, creating, changing, and confirming classes in Lotus Notes group calendar, checking for instructors’ equipment needs and reference material/handouts, requesting/confirming training room configurations and equipment, setting up and cleaning up training rooms, maintain training program master binders.
• Work with Reprographics Unit to obtain training program material (binder tabs and name tents).
• Maintain Retirement Services (RS) Program participant profiles.
• Analyze profiles for deficiencies and report findings; propose solutions.
• Create electronic class evaluations using Survey Monkey, summarize and report out on class evaluations.
• Process class rosters, scan, and save to share drive.
• Assist program participants with the class waiver process.
• Analyze mid-point and class evaluation results and make class recommendations for future programs.
• Create PowerPoint presentations showing statistics and comments received on training programs’ success.
• Participate in Training Team meetings and serve as recorder, tracking action items to completion.
• Develop, maintain and update database(s) as appropriate.
• Change an employee’s supervisor within the OSC Competency-based Development System Database.
• Assist staff (individually or in a group) with completing Self-Assessment in OSC Competency-based Development System Database.
• Use procurement card to pay for specialized division training, enter items into the PCS database, and reconcile PCS and bank statement on monthly basis for producing PLOT plans.
• Speak before groups of people to provide or gather information.
• Design then deliver presentations, information sessions, and/or classes for internal customers.

Quality and Division Programs
• Document procedures and analytical methods; prepares tables, charts, reports.
• Review and revise procedure manuals and policy manuals.
• Assist with quality performance activities by providing analytical and administrative support such as initiating/monitoring staff surveys, compiling and analyzing results, and answering questions.
• Assist with maintaining division phone lists and floor maps.
• Assist with scheduling phone moves and requesting cubicle nameplates.
• Administer RS Employee Recognition Thank You Card program.
• Serve as bureau representative on division/agency wide teams as needed.
• Assist in the logistics for employee engagement programs.
• Assist in program planning, coordination, logistical support, and project development activities related to training, work force development, BCCP, quality performance initiatives, and employee engagement programs.
• Complete other administrative duties as assigned.
