Minimum Qualifications Permanent service in this title, or one year of permanent service in a title SG-9 or higher and otherwise eligible for transfer under Civil Service Law, OR reachable on the Civil Service eligible list for this title.

Duties Description This position provides administrative support to the Law Enforcement and Legal Services Unit for a staff of nine people. It is also responsible for managing the Motor Vehicle Theft and Insurance Fraud Prevention (MVTIFP) Board and the associated meetings.

The Secretary 1 responsibilities include:

• Preparing, formatting and finalizing contracts for submission to the Office of Financial Services;
• Utilizing Grant Management System to upload documents and emails as needed;
• Preparing award letters and emailing the letters to recipients;
• Assisting with daily operations of the Unit and serve as back up for other units as needed;
• Screening Unit-wide calls and referring calls to appropriate staff;
• Submitting and tracking purchase and travel requests for Unit;
• Filing correspondence and general subject matter items;
• Preparing, setting up and taking minutes of quarterly MVTIFP Board Meetings;
• Assisting members of the MVTIFP Board with travel arrangements and vouchers; and
• Preparing and managing correspondence, memos, reports, and other documents.

Preferred skills:

• Ability to prepare letter merges using data systems and Word documents;
• Proficient in Microsoft Office, particularly developing and using Excel
spreadsheets;
• Skilled at editing packages and PowerPoint; and
• Excellent organizational and time-management skills.
