Minimum Qualifications 1. Two (2) years of satisfactory secretarial experience; OR
2. Satisfactory completion of a two (2) year course in secretarial science from a business school registered with the NYS Education Department or from a NYS community college or technical institute recognized by the NYS Education Department as following acceptable practices; OR
3. A satisfactory combination of 1 and 2 above
Duties Description The incumbent of the Secretary 2 position will report directly to the Regional Director, will be responsible for day-to-day operations, and organize and coordinate all administrative activities. The Secretary 2 will schedule, manage and monitor the Regional Director’s calendar, prioritize meetings effectively, and ensure that the Regional Director has all supporting documents, travel directions and information necessary for meetings, conference calls or events in advance. The Secretary 2 will brief the Regional Director and Deputy Regional Director on current and outstanding issues for action; provide comprehensive administrative support to the Regional Director and the Deputy Regional Director as needed, attend monthly regional office operations meetings and prepare meeting minutes. The incumbent will prepare a weekly special events calendar for all seven NYS Parks in the New York City Region and tabulate weekly attendance figures. The Secretary 2 will manage correspondence and filing and provide administrative support to the business office for concessions. The incumbent will also work on special projects such as the design and/or formatting of presentations and research projects. The Secretary 2 will work closely with the Regional Director to manage quarterly NYC Commission meetings, including scheduling, generating concise and accurate meeting minutes.
Additional Comments The candidate must be detail-oriented with high standards for accuracy and accustomed to working in a team environment. The candidate must be able to work well under pressure in a fast paced, deadline-driven environment, be a self-starter, maintain confidentiality, and possess excellent verbal and written communication skills. The candidate must be highly organized with the ability to prioritize multiple assignments and must track and follow through on diverse tasks. The candidate must be proficient in Microsoft Office, Excel, Word and Power Point as well as be proficient with Apple products.
