Duties Description • Perform studies of work processes, standards, and practices in order to make improvements within the work groups. Prepare procedures to describe, revise, and control work activities. Prepares data and reports regarding work activities.
• Coordinate the space and equipment needs of multiple program areas.
• Assure that office equipment is properly installed and operating, arrange vendor repairs.
• Manage central files, printing, inventory, mail and other support operations.
• Administer Freedom of Information Act (FOIL) by reviewing requests, locating responsive materials and acting as liaison with FOIL office.
• Compile data and prepare reports and recommendations to assist program managers with the development, review, editing, and revision of policy and procedure manuals and official correspondence.
• Develop spreadsheets, charts, and presentation material for internal and external decision makers.
• Design, revise, and control the use of forms and processes which can be used throughout the group.
• Assist in the compilation and tracking of data to be used in the preparation of the group’s budget submissions and fiscal tracking.
• Assist the Deputy Commissioner, Deputy Director and other senior managers by facilitation and participation in meetings and teleconferences.
• Assist unit supervisors to both schedule and track mandatory training for over 700 employees.
• Assist supervisors to complete and track performance evaluations for over 500 employees.
• Prepare and implement a variety of personnel transactions including: supervisor and shift changes; leaves, terminations, and resignations; requests to fill, appointments, and postings; completion of onboarding paperwork; and the preparation of new position, reclassification, and earmark release requests.
• Assist unit supervisors to facilitate the recruitment and selection of employees.
• Assist managers with Labor Relations matters including disciplines, grievances, and terminations.
• Provide general administrative support for the offices of the Deputy Commissioner and Deputy Director.
