Minimum Qualifications Open to NYS employees with one year of permanent competitive service as a Office Assistant 2 - Clerk 2, G-9, or in a title at Grade 9 or above that is eligible for transfer under Section 70.1 of the Civil Service Law.The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Duties Description The Office Assistant 2 will be assigned to the Procurements and Contract Management Unit within the Chief Administration Office.

Duties will include, but are not limited to, the following:

Respond to nontechnical questions and refer technical calls to appropriate staff.

Maintain management’s calendars and schedule.

Open, review, sort, and distributes incoming mail and correspondence.

Prepares mail and packages for pick up.

Finalize and format correspondence from rough draft documents.

Review correspondence for errors.

Design, set up, and maintain division files.

Assist with records retention and archiving obligations.

Schedule meetings, meeting rooms, and appointments as required.

Make travel arrangements for Procurements and Contracts staff by securing public transportation or State vehicles, prepare request for travel forms, make hotel reservations, and prepare travel vouchers for reimbursement, etc.

Prepare and distribute faxed material to staff for processing.

Serve as the primary contact for supplying users and staff in regional offices with printer supplies.

Respond to questions from inside and outside the agency regarding programs and agency rules, regulations, policies, or procedures.

Receives and directs incoming calls to various IT staff.

Perform a full range of supervisory duties as needed.

Additional Comments The Office Assistant 2 will be assigned to the Procurements and Contract Management Unit within the Chief Administration Office. The position is pending Division of the Budget approval. Some positions may require fingerprinting.
