Duties Description The Office of Mental Health (OMH) is currently recruiting to fill a Office Assistant 1, Grade 6, position. This position is located in the Center for Human Resources Management, Bureau of Central Office Personnel Services and provides support to the Director of Personnel and Bureau staff.
Specific duties include, but are not limited to, the following:
• Perform audits on employee time and attendance records.
• Provide the full range of support services: prepare correspondence, type from handwritten reports, charts, etc., correct and format draft documents using computer software as appropriate to assignment, proofread documents for grammatical and typographical errors.
• Receive, review and distribute incoming mail. Review and distribute outgoing correspondence, making sure that appropriate protocols are followed. Screen incoming mail for assigned Bureau staff.
• Use various computer applications to prepare documents and reports and track data/processes as requested.
• Answer telephone calls and inquiries. Refer telephone calls to appropriate staff, and greet visitors.
• Arrange and schedule meetings and training for assigned Bureau staff.
• Work with other Bureau support staff to maintain filing systems.
This position is ideally suited for individuals who are highly motivated and organized, are able to work well both independently and as part of a team, are able to multitask, possess good customer service skills, and enjoy a busy, challenging and creative work environment. Candidates who have experience with, or who have an interest in learning, MS Word, GroupWise, Access, Excel, PowerPoint, Visio and Adobe Acrobat are encouraged to apply.
