Minimum Qualifications Interested candidates must be reachable on the Secretary 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the candidate is not currently incumbering, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.

Duties Description Prepare, type, proofread, review and distribute correspondence, communication items, procedures, reports and other written material. Correspondence, communication items, procedures, reports and other documents are produced in a timely manner, with formatting, grammar and punctuation in compliance with Division guidelines and following standard templates. Written communication is clear, addresses the key points discussed, drafted in a timely manner and free of grammatical, spelling and typographical errors.

• Organize and coordinate administrative activities in the section. Duties include:
- Electronic and paper filing systems are effectively maintained.
- Listings and references are up-to-date and shared with appropriate staff.
- Develops, maintains and updates section procedure manuals.
- Meetings and orientations are scheduled appropriately and timely.
- Office procedures are established and related policies and procedures are implemented.
- Identifies improvement opportunities in office procedures, paper and work flow, suggest and implement new or revised procedures, instructions and other communications
- Effective and efficient work flow and communication flow is maintained.
- Quality assurance is performed to ensure correctness and completion.
- Green initiatives regarding printing and copying are observed.

• Coordinate telephone services and building services for the Division. This includes:
- Telephone update requests are prepared and submitted in a timely manner.
- Records are up-to-date and available for use.
- Troubleshooting is thorough and effective.
- Employee separations, additions and changes are processed in a timely and effective manner.
- Coordinates photographs for the CIO Staff Directory
• Design and maintain forms in cooperation with customers. Standards for forms design are observed. Feedback is solicited from the form “owner” and users, when appropriate. Communications are drafted to ensure that users begin to use the revised form instead of prior versions of the form.
• Writes and edits procedures, instructions, publications, and other communications for the Division of the Chief Information Officer (CIO). Procedures and written documents are clear, concise and accurate. Tone and style is appropriate for the audience.
Feedback from users is incorporated in the draft documents.
• Maintains, creates, edits and deletes employee contacts records in the Intertrac contacts database and prepare reports using the data. Employee records are maintained in an accurate and timely manner. Reports are prepared and generated as scheduled, upon request and per customers specifications.
