Duties Description Under the supervision of a Secretary 2 in the Contact Center Division, the incumbent will perform the following duties:
• Manage and coordinate the principal day-to-day administrative and secretarial activities for the office.
• Screen correspondence and telephone calls in accordance with office procedures; refer technical matters to the appropriate program staff.
• Communicate effectively with internal and external (other state agency) customers, both verbally and in writing.
• Manipulate an alphanumeric keyboard to use and navigate various computer systems and applications.
• Maintain tracking systems for correspondence and assigned projects; set and meet deadlines for responses; develop and prepare reports.
• Design, set up and maintain filing systems and work flows for electronic and hard copy data for the office.
• Perform administrative tasks such as scheduling meetings; making travel arrangements; maintaining calendars; recording and distributing meeting minutes; and evaluating priorities.
• Adhere to the Department's time and attendance rules and regulations.
Additional Comments Work hours to be determined. The Department of Taxation and Finance screens all prospective employees to ensure compliance with income tax filing requirements for the three previous tax filing years. Candidates, who are not current Department employees, are required to complete and sign Form HRM-241, Validation of Tax Compliance. Candidates who are not in compliance with filing requirements cannot be offered a position with the Department.
