Minimum Qualifications Open to NYS employees with one year of permanent or contingent permanent status as a Agency Program Aide or in a title designated appropriate for Section 70.1 transfer of the Civil Service Law. Candidates reachable on the eligible list for this title will be considered through a canvass and do not need to apply.

Duties Description • Prepare financial reports for the Bureau, including, but not limited to monthly and annual reports.
• Process monthly Client Statements and respond to client inquiries with respect to statements.
• Respond to any special requests for statistical data from the Bureau Chief, Deputy Bureau Chief, Senior Administrative Assistant, Administrative Assistant or Civil Recoveries Unit Heads.
• Track and reconcile outstanding receivable due from client agencies.
• Review Statewide Offset batches to be posted on SilverCAR, an agency database. Be sure that reversals are completed and the report figures match the batch totals.
• Maintain a solid working knowledge of Microsoft Word, Access, Excel and SilverCAR. Will need to create, maintain, and edit databases and spreadsheets. Will need to master the fundamentals of SilverCAR and the automated process. Will need to identify potential issues that arise and be able to propose possible solutions. Provide testing for new features as they are programmed.
• Organize, coordinate, and execute Bureau projects. Monitor work flow and performance.
• Maintain accurate procedural manual for the Clerical Unit and for the Agency program Aide tasks.
• Provide backup to the Secretary 1 (Front Office) on all tasks assigned to the Secretary 1, including processing Bankruptcy documents, requests for refunds through the State Wide Offset Program, open, review and distribute the Bureau’s mail, maintain office calendar, answer the Bureau telephone, respond to questions concerning policy and procedures and refer calls to appropriate staff.
• Provide backup supervision of Clerk’s Unit and File Room. These units consist of three Office Assistant 2 positions, two Office Assistant 1 positions, one Office Assistant Keyboard 1 position, and one Investigative Aide position. Will need to learn tasks for each position over time.
• Perform other duties as assigned.
