Duties Description
Provide administrative/secretarial support to the Director of the PMO and staff, including handling incoming calls and correspondence. Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Office E-mail, Scheduling and Calendaring) and various other software products used in the office.
Coordinate travel arrangements, including working with the travel agency, arranging lodging, completing conference registrations, preparing travel vouchers, arranging car rental, and preparing all supporting documentation such as mileage reimbursement forms, mileage calculator and tax exempt forms.
Assist with arranging events, preparing materials, arranging use of space, and ordering food when necessary.
Assist with filing, which includes maintaining electronic and hard copy.
Responsible for proofreading written materials and rough draft correspondence, preparing letters, and providing word processing support in the form of formatting final documents, provide mailing and mail merge support.
Provide assistance with employment searches, schedule interviews, prepare documentation binders for search committee, and arrange travel for the candidates.
Provide assistance with project and work tracking and documentation using collaborative project management tools.
Purchase office supplies utilizing the procurement card system, monitor inventory, prepare work orders and call for service on copiers and other equipment as needed.
Preferred candidates have prior experience working in a professional office environment and are familiar with standard office software programs (Word, Excel, PowerPoint, etc.).
Additional Comments This is a permanent position in the competitive jurisdictional classification. To be eligible for this position, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as a Secretary 1, SG-11, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.
Candidates should be aware that a preferred list, transfer list, placement roster and/or reemployment roster of laid off state employees may be certified against this vacancy by the Department of Civil Service.
