Minimum Qualifications MINIMUM QUALIFICATIONS: For permanent appointment or reassignment for NYSED employees, candidates must have one year of permanent competitive or 55b/c service as a Secretary 2 OR
Candidates must be reachable on the appropriate Civil Service eligible list or a current NYS employee eligible for transfer under Section 70.1 of the Civil Service Law.
70.1 Transfer
To be eligible for transfer under Section 70.1, candidates must have one year of permanent competitive or 55b/c service in a title allocated to grade SG-13 or higher. Candidates must also be able to pass a typing proficiency exam.
*Leads to a maximum salary of $57,697 with annual performance advances.

Duties Description The New York State Education Department’s (NYSED) Office of the Chief Financial Officer (CFO) is seeking applicants for a Secretary 2 position. The CFO oversees the Office of Financial Administration (OFA) and Budget Coordination, the Office of Contract and Grants Administration and the Office of Human Resources Management. The incumbent of this position will function as the sole administrative support person for the CFO and assist in the daily operations of various duties for the CFO. The duties of this position will include, but not be limited to, the following:
• Maintain the CFO’s calendar and collect the materials needed for each meeting;
• Proofread and manage the approvals, signature and distribution of the Memorandum of Understandings (MOUs);
• Design and maintain the office filing systems, both manual and electronic;
• Oversee the CFO record retention procedures;
• Assign grant requests to Budget Coordination for approval and notify program office of approvals;
• Manage the authorized signatures list for fiscal approvals for the Department and update as necessary with the Office of the State Comptroller (OSC);
• Handle internal requests for W9 forms including: preparing the form, obtaining signatures and mailing completed forms to the appropriate department office;
• Ensure that the CFO’s Codes, Rules and Regulations and the New York State law books are updated.
• Review and determine the priority and appropriate distribution of incoming correspondence;
• Enter all Freedom of Information Law (FOIL) requests assigned to the CFO offices into the mail tracking system (TRIM), distribute to appropriate CFO office for response and follow-up as needed to ensure the FOIL timelines are met; and
• Other duties as assigned by the CFO.
Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent appointment. Filling of this position is contingent upon Division of Budget approval.
