Minimum Qualifications Current NYS employee with one year or more of permanent or contingent-permanent competitive service as an Office Assistant 2 (G9), OR a NYS employee with one year or more of permanent or contingent-permanent competitive service in a position at G7 or higher and eligible for transfer under Section 70.1 of the Civil Service Law.
Preferred Qualifications:
Experience with personal computers, including experience using Microsoft Office applications (Word, Excel, Access, and Outlook); general office experience; proofreading skills and attention to detail; excellent communication skills, including telephone skills and customer service; ability to work independently and prioritize work load.
Duties Description This position serves as the Office Assistant 2 in the Vaccine Call Center in the Bureau of Immunization, with duties related primarily to ensuring accountability and accuracy of vaccine orders placed by providers registered in the Vaccines for Children (VFC) and Vaccines for Adults (VFA) Programs. Responsibilities include: answering the Vaccine Call Center telephone, fielding questions from the general public and/or referring callers to subject matter experts; reviewing and processing vaccine orders, which includes communication with healthcare providers to ensure orders are accurately completed; processing reports of expired/spoiled vaccine from provider offices and conveying information to supervisors; entering data into the Vaccine Tracking System (VTrckS) and verifying provider demographics and vaccine return processing; tracking provider information related to vaccine purchases and expired/spoiled vaccine information and presenting information in a clear, concise format; tracking vaccine inventory related to emergency preparedness activities; tracking receipt of provider enrollment forms, both for new enrollees and during the annual renewal period, and maintaining and updating provider profiles as necessary; contacting providers to obtain and verify demographic and/or patient profile information; and performing tasks associated with mailings or faxes to health care providers including provider registration forms or other informational materials.
