Minimum Qualifications For Permanent Appointment: Candidates must be eligible for transfer under Section 70.1 of the Civil Service Law by having at least one year of permanent competitive service in a qualifying title within two salary grades of the Grade 13 level.

Duties Description The Administrative Aide position is assigned to the Albany Business Office and performs the following duties related to Accounts Payable (AP): maintains comprehensive accounting records for annual volume of over 100,000 invoice payments; resolves exceptionally difficult AP issues in the Statewide Financial System (SFS) and in conjunction with the Business Services Center (BSC); reviews unit functions and procedures; develops new AP business processes for the new Fiscal Management System; notifies agency budget unit and regional business office(s) regarding regional funding issues when found during the budget error correction process; creates Refunds of Appropriation (ROA) and Journal Vouchers (JV); serves as AP Help Desk for Albany Office and Regional Staff; responds to vendor calls; prepares financial and statistical reports for use by various agency personnel; enters Attachment-As; reconciles P-card transactions in SFS for certain staff; maintains the Director’s Daybook; files Business Office records; takes phone messages; sets up meetings including meeting room and equipment; and monitors AP processing in SFS.
