Minimum Qualifications REACHABLE ON THE CIVIL SERVICE LIST FOR SECRETARY 1, PERMANENT OR CONTINGENT PERMANENT STATUS AS A SECRETARY 1, OR ELIGIBLE FOR TRANSFER.
We currently have two vacancies for a Secretary 1 position. Please review the duties below for more information on each position.
Duties Description Position for the Human Resource Management Bureau:
•Secretary to 7 professional level staff members. All work should be done accurately and on a timely basis.
•Draft appointment, promotion, probation, and non-select letters using Word template.
•Monitor “Investigator Jobs” electronic recruitment in-box daily; file resumes in appropriate directory.
•Fold and mail canvass letters; track responses and code Civil Service lists appropriately.
•Maintain follow-up file; retrieve and distribute materials.
•Scan large recruitment files.
•Assist Labor Relations staff by creating files and sending out certified mail upon request.
•Maintain office equipment including copier, fax, and printers.
•Manage HRM electronic calendar, and coordinate the use of conference rooms.
•Track attorney registration – on a monthly basis must check Office of Court Administration (OCA) website for any attorneys whose registration is due to expire. Notify Administrative Assistant of any late registrations. Update Attorney Registration log with new hires and remove any who have left the OAG.
•Answer the main phone line and respond to routine HR questions. Refer more complex calls to appropriate staff member.
•Greet visitors to the Bureau.
•Open and sort mail, order supplies, and maintain supply room.
•Perform other duties as assigned.

Position for the Appeals and Opinions Bureau:
•Produce a variety of legal documents, primarily appellate briefs, memoranda in opposition, answers, motions, letters, etc., with limited supervision.
•Verify citations and other legal references, with limited supervision
•Edit and finalize legal work to comply with Court rules and regulations, with limited supervision
•Work directly with assigned staff attorneys to meet office and/or court deadlines.
•Train and, as necessary, oversee work of Law Department Document Specialists (LDDS), to assure deadlines are met and reception desk is covered.
•Cover reception desk. Answer and direct calls as necessary
•Draft correspondence based on verbal and written instructions
•Serve as backup to the Bureau Chief’s secretary, as necessary.
This position would include:
-Entering new cases into Silvercase (including providing descriptions of each case and other important info).
-Answering phones, preparing letters and other administrative duties.
-Reporting office maintenance issues and following up to assure reasonably prompt responses.
•Maintain dockets and/or other filing systems (Silvercase, etc.).
•Close cases, as necessary.
•Perform general office duties as necessary, including scanning, faxing, copying, answering routine correspondence, etc.
