Duties Description The incumbent will report to the Office Assistant 3 in EHS’ Clerical / Front Desk Unit. The primary job duties of the position include:
• Assist the EHS Medical Director to organize and monitor pre-employment workflow.
• Adjust the daily Master Schedule in the Experior Medical Management System to reflect EHS physician and staff availability.
• Review reports and documents received from EHS consultants / contractors for completeness. Follow-up with vendors for missing information. Advise the Medical Director of issues and discrepancies in need of his attention.
• Enter receipt of medical reports from contractors in Experior computer (for tracking).
• Manage activities related to release of medical records as per HIPAA and New York State regulations, i.e. interpret request, retrieve information from medical record or other source, prepare copies and correspondence, mail as requested by individual, send request forms to persons contacting EHS via telephone, and maintain database of release of information.
• File medical records.
To be successful in this position, the incumbent should have excellent telephone and organizational skills; the ability to patiently explain policies, procedures and processes; and a level of comfort using computer applications.
