Minimum Qualifications Candidates must be current state employees and have a reachable score on the Office Assistant 2 (Calculations) list or
Have a current permanent appointment with 1 year of service as a Office Assistant 2 (Calculations)or to a title eligible for transfer to Office Assistant 2 (Calculations) or
Appointment as Office Assistant 2 (Calculations) here at UAlbany, less than 1 year of service, (remainder of probationary period to be completed in new assignment) or
Be a former state employee eligible for reinstatement to the title of Office Assistant 2 (Calculations). May be filled from a mandatory reemployment list if one is in effect at time of appointment.

Duties Description Processing & Finishing

• Process and complete incoming job requests through hard copy, email attachments or electronic submission through Digital Storefront. Maintain consistent quality on all jobs through checking output. On large orders review required stock levels prior to initiating a job to insure sufficient supply. Coordinate with other staff members the jobs you have taken responsibility for and provide assistance when needed. Material of a confidential nature is to be handled according to procedures that are in place and be processed in the least accessible area of the center.
• Operate copy machines and bindery (finishing) equipment and resolve problems and issues as they arise efficiently and expeditiously with the machine vendor or service contract provider. Maintain proficient knowledge of all machine capabilities and functionality. Periodically wipe down equipment to remove paper dust and toner. Participate in training offered when new equipment is brought into the center.
• Maintain control over all completed jobs, knowing the status of each finished job and how it is being returned to the customer. Deliver completed jobs needing to go through Mail Services to the mail facility first thing in the morning. Deliver and pick-up copy jobs per the established routine.
• Complete job request tickets accurately to reflect all work performed. Initial and date when a job is completed.
• Keep supervisor informed of any issues that cannot be resolved independently.

Office Stores
• Process Office Stores requests as they are received. Monitor inventory levels of Office Stores items and inform the supervisor when procurement of stock is necessary to replenish inventory items that are running low.

Inventory Control

• Periodically inventory stock items, especially paper, to insure that an adequate supply is kept in house to handle ordinary reproduction demands. Provide reorder information to the supervisor.
• Participate in the periodic annual inventory of supplies and stock items.

General Responsibilities

• Answer phone and personal inquires as they relate to the center. Communicate with all campus departments, external agencies and vendors as necessary. Satisfy customer concerns either independently or in conjunction with the supervisor.
