Duties Description Reporting to the OCO&MA Director and Program Manager, the incumbent will support the OCO&MA management team performing a variety of administrative and secretarial support duties. The incumbent acts as a conduit for communications between OCO&MA and other DCS Divisions, ensure the free flow of daily administrative work through their established processes, and prepares a variety of documents for review by managerial staff. The duties performed will include, but are not limited to:
• Receiving appeals submitted to the State Civil Service Commission for considerations, assembling background information needed for consideration of appeals by the Commissioners, and formatting and transmitting correspondence regarding the appeals to Department staff and appellants.
• Preparing and transmitting correspondence for the OCO&MA Director, Program Manager and consultative staff.
• Receiving incoming correspondence and distributing it to the appropriate staff for review and response.
• Utilizing and maintaining logs and databases associated with Division activities.
• Answering phone calls, respond to questions regarding routine matters and referring calls concerning complex matters to appropriate staff for response.
• Preparing materials for inclusion in Commission calendars.
• Assisting in the coordination of the Division’s annual training initiatives by performing logistical tasks such as making travel arrangements, room reservations and assembling materials for use by presenters.
