Minimum Qualifications Candidate must either be reachable on the Civil Service eligible list for this title OR be a current New York State employee eligible for transfer under Section 70.1 of the Civil Service Law, with one year of permanent competitive service in a qualifying title. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two grades.
Preferred Qualifications:
Strong computer skills, including proficiency in Excel; ability to develop tracking mechanisms;
Excellent organizational skills;
Ability to work individually as well as part of a team
Duties Description POSITION DESCRIPTION:
The position of Office Assistant 3 (Calculations) is required within the Fiscal Data Analysis and EO 38 Unit, which reports to the Director of Fiscal Reporting and Data Analysis and is responsible for reviewing and monitoring the financial soundness and stability of the not-for-profit voluntary providers that are authorized by the Office for People With Developmental Disabilities (OPWDD) to deliver services to the individuals. The unit also gives direction and engages in follow-through for matters relating to Executive Order 38. The incumbent will play an essential role in maintaining the unit’s organization, and contributing to the review process.
PRIMARY DUTIES AND RESPONSIBILITIES:
As an Office Assistant 3 (Calculations) the responsibilities of the incumbent may include, but are not limited to the following:
• Receive and log requests for fiscal reviews as well as other data;
• Track staff assignments for all reviews and maintain logs;
• Maintain progress charts for various research methods to gauge review completeness;
• Check compliance of provider Consolidated Fiscal Report as part of the review;
• Handle the distribution of finalized reports (initial as well as supplemental);
• Track recommended review dates for providers that should be reviewed soon rather than in accordance with the typical intervals;
• Work with database reports in Word and Adobe (PDF); distribute electronically to individuals involved;
• Record dates of reviews and distribution of reports;
• Issue monthly reports identifying financially troubled providers to appropriate internal staff;
• Coordinate with IT unit staff to identify active providers, and to retrieve data that will troubleshoot and identify providers;
• Handle miscellaneous correspondence and communication (ie. requests for supplemental information);
• Schedule and arrange meetings as requested.
