Minimum Qualifications In order to be considered for appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.

Duties Description Candidate will perform all the following duties for the Division of Legal Affairs and its Bureaus, including but not limited to:

• Open, review, sort and distribute incoming correspondence ensuring that appropriate back-up files/materials are attached; request additional material from the correspondent if needed; monitor and track correspondence; maintain follow-up system.
• Be proficient in the use of the various computer programs, including such programs as Microsoft Office, Access, and Microsoft Word, Excel and PaperPort.
• File documents. Periodically purge obsolete material from the Division files and send to record center or dispose of said files.
• Arrange for and coordinate meetings and conference calls.
• Make travel arrangements when needed. Prepare the appropriate travel forms and vouchers.
• Answer and screen telephone calls and visitors.
• Draft, type, edit, format and mail correspondence.
• Proofread outgoing correspondence for grammar/punctuation errors.
• Copy, scan and fax documents.
• Resolve day-to-day operational problems.
• Update law books promptly.

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
