Minimum Qualifications Open to NYS employees with one year of permanent, competitive service as a Secretary 2, G-15, OR in a title G-13 or above designated appropriate for Section 70.1 transfer of the Civil Service Law. The transfer cannot be a second, consecutive transfer resulting in an advancement of more than two salary grades.
Duties Description The incumbent will provide administrative, clerical, and support services as follows:
- Coordinate/schedule meetings, arrange conference calls, and maintain Outlook calendars by monitor meeting dates and deadlines;
- Answer the telephone and respond to questions and/or refer calls to appropriate staff;
- Sign-in and orient office visitors;
- Screen and process all incoming and outgoing mail and correspondence to determine appropriate distribution and need for subsequent action;
- Prepare and review outgoing correspondence/documents for proper grammatical usage, clarity, factual correctness, relevant attachments, and conformance to instructions;
- Research problems by gathering/analyzing the necessary information to provide a recommended response;
- Prepare travel requests/approvals/arrangements for ITS staff to attend meetings and conferences;
- Order office supplies;
- Design and setup the workflow to organize and maintain files (including electronic) of correspondence/documents for the storage of file material for subsequent retrieval and periodic purging;
- Use MS Office 2013 Word, Excel, Power Point, and Access to prepare and maintain as needed, (data entry, keyboarding) documents, spreadsheets, presentations, and databases that are used to monitor financial and program data and narrative information;
- Assist in the preparation Quarterly Staffing Plans (i.e., Requests to Fills);
- Process SFS Role/Access request forms in the SFS system and maintain records for Office of State Comptroller (OSC) audit compliance;
- Work with the Office of General Services’ (OGS) Business Service Center (BSC) to resolve SFS access, Purchase Request (PR), Purchase Order (PO), and invoice payment issues
