Salary RangeFrom $37998 to $46573 Annually
Minimum Qualifications A. Must currently be a permanent Secretary 1;
OR
B. Must be active and reachable on the Civil Service Eligible List for Secretary 1;
OR
C. Eligible for 70.1 transfer in a designated title determined by the New York State Department of Civil
Service. Must take a performance exam to demonstrate keyboarding skills, if you have not held a
Keyboard Specialist 1 position.
Duties Description The Secretary 1 will provide primary secretarial support for Rockland/Westchester DDPS4 as well as the entire Rockland management team that includes 4 Treatment Team Leaders, 4 Developmental Assistant 3's, 1 DDPS1, 3 Recreation Therapists, and numerous mid-level managers daily, all of which are responsible for 33 homes and 2 day hab sites. Duties include, but are not limited to:
1. Medical Billing Pilot Entry Program;
2. Monthly Day Hab billing and data entry;
3. Review Quarterly Trial Balances;
4. Monitor and collect monthly fire drills;
5. Maintain and update Service Recipient Record Binders;
6. Update DDP2s when necessary;
7. Monitor & track Facility Max requests;
8. Maintain office supply records and files for correspondence/documents;
9. Type correspondence, individual reports and evaluations, as needed;
10. Typing and compiling the necessary documents for all time-sensitive Plans of Corrective Action in response to Statements of Deficiencies.
11. Screen and forward telephone calls;
12. Maintain IRMA entries, requiring scanning, copying and electronic filing of the 147 and organizing reportable incident files;
13. Scanning/Filing of SRC Follow-up Logs;
14. Run reports on a regular basis, i.e. AR 19 (Day Treatment/Day Habilitation Report and CR 106 Pre-Billing Residential Habilitation Report;
15. Day Habilitation Data Entry on a weekly basis – Rockland County; Residential Habilitation Data Entry Weekly for Rockland & Westchester;
16. FSAT data entry/submission;
17. Compose, type and distribute meeting notes and routine correspondence;
18. Maintaining calendars for the Treatment Team leaders and DDPS4;
19. Supervision of the current Office Assistant 2;
20. Prepare responses; and special projects as they arise;
