Minimum Qualifications This is a transfer opportunity for current New York State employees who are eligible to transfer via Section 70.1 of the Civil Service Law. Candidates must have permanent or contingent permanent status in a title approved for transfer by Civil Service within two salary grades of the Grade-6 level.
The Beginning Clerical Worker Eligible List is also used to fill this title. If you are on this list, you may receive a canvass letter.
Candidates who have not previously served in a keyboarding title must demonstrate adequate keyboarding skills (i.e. the ability to type 35 words per minute with at least 96% accuracy) by passing the Keyboard Specialist performance test.
Duties Description •Produce a variety of legal documents in final form for review by Attorneys and/or Collection & Civil Prosecution Specialists (CCPS), including pleadings, discovery, motions, affidavits, etc. from dictated, handwritten or electronic copy.
•Independently prepare and track service of process on the Secretary of State using Business and Corporation Law Sections 306 & 307, or Vehicle and Traffic Law Sections 253 & 254.
•Once an action has been commenced and the CCPS request service through the Secretary of State against either an individual or corporation the LDDS should be able to independently use Business and Corporation Law Sections 306 & 307, or Vehicle and Traffic Law Sections 253 & 254. This is a complex multiple step process that must be coordinated by the LDDS involving the preparation and tracking of various documents (affidavit of service, notice to debtor, affidavit of mailing, etc.) and includes interaction with the CCPS, messenger, Secretary of State and Post Office, until the proper service is accomplished.
•Proofread documents for correct legal terminology, context, spelling, grammar and punctuation.
•Prioritize work ensuring that procedural and filing deadlines are met.
•Timely arrange for filing court documents and service of legal documents.
•Maintain dockets or other filing systems by manual and electronic means.
•Maintain and organize the contents of office files, including litigation case files.
•Perform general office duties as assigned such as opening mail, sorting mail, opening new files, scheduling meetings and arrange conferences with opposing counsel, typing letters and memos, photocopying and answering phones.
•Perform cite checking and other basic legal research to verify citations in the various documents being produced.
•Respond to inquiries or make inquiries to the public.
•Prepare legal documents using the correct legal format required by the court for which the documents are destined.
•Enter information into the Unit’s Microsoft Word directories, Access and SilverCar databases and assist in the retrieval of information upon request.
•Make travel arrangements for Assistant Attorneys General and prepare and submit travel vouchers.
•Answer and make routine calls for the Unit.
•Perform other duties as assigned.
Additional Comments Upon successful completion of 12 months as Law Dept Document Specialist Trainee 1, you will automatically advance to Law Dept Document Specialist Trainee 2. (SG 8)
Upon successful completion of 6 months as Law Dept Document Specialist Trainee 2, you will automatically advance to Law Dept Document Specialist. (SG 9)
