Minimum Qualifications This is a permanent position in the competitive jurisdictional classification. To be eligible for this position, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as a Secretary 1, SG-11, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.


Duties Description The State University of New York System Administration, located in Albany, New York is searching for a Secretary 1/SG-11, for the Office of Academic Planning and Strategic Leadership. The tasks that are performed routinely, but are not limited to, the following:

•Provide administrative support to a team of professional staff in the offices of Academic Programs and Planning, and Presidential Searches and Leadership;
•Responsible for producing correspondence, reports and presentation materials;
•Serve as one of two primary leads in providing office phone coverage;
•Communicate with a broad public, including System Administration senior staff, members of the Board of Trustees, campus Presidents, Provosts and other campus staff, SUNY Research Foundation and SUNY Construction Fund staff, etc.;
•Develop and maintain a tracking system for the daily work flow within the office;
•Proofread and finalize correspondence, reports, proposals, etc.;
•Serve as one of the first contacts for office inquiries;
•Oversee and ensure successful execution of the entire range of office activities, including maintenance of supply inventory, making travel arrangements, and preparing travel vouchers for staff reimbursement; maintain calendars as appropriate for staff and office-wide initiatives; responsible for assisting with workshops and meetings with campus officers, including campus Presidents, Provosts, deans, directors, faculty, campus professional staff, etc. as it relates to the work of the office;
•Provide administrative oversight and assistance for various faculty and award recognition programs as well as Presidential searches and leadership development events;
•Handle conference/meeting tasks, including assisting in preparation of the agenda, arranging transportation, audio visual equipment, securing meeting room space, setting up conference calls/webinars, ordering food as needed, arranging or assisting with parking for visitors, assisting in copying the conference/meeting material and coordinating the folders;
•Assist in providing back-up support coverage during the absence of other secretaries in the office in order to maintain efficient workflow;
•Maintain office files (electronic and hard copy), and assist in resolving day-to-day operational problems;
•Maintenance of various office listservs;
•Monitor and track office budget for certain expenditures;
•Open and distribute mail; and
•Photocopying, faxing, and other secretarial tasks as requested.
