Minimum Qualifications Qualifications: This is a contingent permanent position in the competitive jurisdictional classification. To be eligible for this position, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as an Office Assistant 2 (Keyboarding), SG-9, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.

Duties Description The State University of New York System Administration is searching for a full-time Office Assistant 2 (Keyboarding) located in Albany N.Y. The duties include, but are not limited to, the following:

•Provide support to the procurement staff by assisting with the entire procurement process.
•Assist in ensuring that all procurements include the required documentation in accordance with NYS and University procurement requirements.
•Assist in the distribution of RFPs, RFls, IFBs and discretionary procurement bid specifications to potential vendors. Respond to inquiries from potential bidders.
•Assist in drafting all procurement and procurement-related documents, such as contracts, contract amendments, extensions, memorandums of understanding, and NYS Contract Reporter exemption requests.
•Input contract transaction data into the SUNY FMS and the NYS SFS.
•Assist vendors in obtaining NYS Vendor ID Numbers.
•Process all System Administration revocable permits.
•Assist in drafting miscellaneous memos and letters.
•Enter procurement advertisements into the NYS Contract Reporter.
•Enter contract transaction data into departmental logs and databases.
•Assist with the preparation of supporting documentation required for contract approval.
•Prepare packages for document transmittal.
•Assist with the distribution of approved contracts and creation of both the procurement file and payment file.
•File, retrieve and maintain the procurement files.
Requirements: Experience with software programs such as word and excel required. Previous office experience preferred. Ability to work on multiple assignments simultaneously. Possess a strong ability to work with others in a team environment. Good written skills and strong attention to detail
