Duties Description Position Summary:
Serve as Graduate Secretary for Chemistry Department in CAS. Chemistry has a very large graduate program, approximately 150+ active graduate students and 40+ new admissions each academic year.
Serve as sole administrative contact for graduate students from the time of application, during the admission cycle, acceptance, arrival and throughout the duration of their program of study to conferral. Advise students on policies, procedures and deadlines. Provide assistance in completing time-sensitive documents. Answer questions and make appropriate referrals. 40%
Maintain graduate files from time of application, including organization of preadmission applications through student's academic career until graduation, in accordance with the precise Graduate School policies and procedures. 5%
Provide the CAS Dean's office with documents and information according to prescribed deadlines. 10%
Provide precise details of graduate student progress to the Director of Graduate Studies by creating spreadsheets to track student progress for annual review. 5%
Process personnel transaction forms (paper and electronic) for teaching assistants and research assistants (about 100 graduate students annually). Prepare tuition forms and submit to CAS Dean's office. 15%
Maintain department graduate student records using the most current university computer system (HUB, ePay, GradMit). Register students as needed for each academic term. 10%
Process and monitor all elements of graduate student admission via GradMit, and provide summary reports to the Director of Graduate Studies. 5%
Provide graduate student reports and documentation as requested by the Graduate School for degree conferral status. 2%
Provide statistical data for the graduate program for the annual report. 2%
Coordinate annual prospective fellowship student campus visits and travel reimbursements. 2%
Assist the Director of Graduate Studies in planning the welcome party each fall. 2%
Maintain and update graduate information on the department's webpage. 2%
