Minimum Qualifications Interested candidates must be reachable on the Secretary 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the candidate is not currently incumbering, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.

Duties Description
Provide assistance to the 110 State Street Condo Board Secretary including scheduling all meetings according to the 110 State Street Condominium By-Laws. Receipt, analysis and preparation of all documents for the meetings including Property Management and Treasury reports.
Reviewing documents upon receipt and working with submitter to make necessary adjustments to ensure accuracy of final documents. Prior to each meeting, organization and analysis of all documents for proper disposition and distribution.
Attending meetings as back-up for Board Secretary. Assist in all facets of the various contracts related to the Board, including tracking status of all contracts, working with Legal and Finance staff in preparation of all procurement documentation, administrative support during the process such as accounting for bids received, attending mandatory walkthroughs with vendor and assist in evaluation process, as required.
Prepare and edit other relevant Condo Board correspondence.
Management of OSC Statewide employee access control system. Leads liaison group consisting of representatives from all program areas on visitor access including software management, assigning access rights, assistance with and oversight/review of group entries, develop and ensure compliance with procedures.
Works directly with Human Resources for special assignment or restrictions to employee or contractor issued IDs. Producing and analyzing required monthly and ad hoc reports of card usage or reader activity.
Serve as back-up to 3rd floor conference room scheduling, parking, telephones and other duties to support the Facilities team.
Provide assistance to Director and staff of Management Services including answering phones, scheduling meetings and preparing documents for meetings including tables charts and reports, handling routine calls and inquiries.
Responsible for review and posting of electronic bulletin board requests or Agency wide emails, as required and analyze stock requests and determine appropriate reorder amounts for staff.
Miscellaneous duties include but are not limited to providing to administering the OSC SEFA program and participation on various Division teams, as needed.
