Minimum Qualifications PERMANENT OR CONTINGENT PERMANENT STATUS AS A SECRETARY 2 OR ELIGIBLE FOR A TRANSFER.

Duties Description This position reports to the Deputy Solicitor General (“DSG”) of the Albany Appeals and Opinions Bureau.

DUTIES:

Provide Administrative Support

•Provide telephone coverage for the DSG. This includes responding to public inquiries and forwarding calls to the appropriate person.

•Produce yearly performance evaluations for attorneys (label envelopes, keep paper copies locked and secure, and assure each attorney receives a copy of their signed evaluation).

•Help with travel arrangements for non-routine travel.

•Produce vouchers/purchase orders for transcripts ordered by legal staff. Make sure documents are signed and submitted to the Finance Bureau.

•In collaboration with the NYC office, file documents in the New York Court as needed.

Office Manager and Supervisor of Clerical Staff

•Supervise work of other secretaries and Law Department Document Specialists (“LDDS”) in the office.

•Work with HRM to recruit new clerical staff as needed (review resumes, conduct interviews, etc.).

•Train new clerical staff (court documents, court requirements, review work to make sure it meets office protocols, etc.).

•Oversee time schedules of clerical staff and approve requests for scheduled time off. Ensure that secretarial coverage is always provided.

•Draft evaluations for clerical staff that are on probation, review with the DSG and attorneys and meet with the employees to discuss comments and questions. Submit completed evaluations to HRM on a timely basis.

•Liaison with the Human Resources Management (HRM) Bureau (leaves of absences, medical leave, recruitment, evaluations, applications, etc.).

•Liaison with the Information Technology Bureau on a variety of computer related issues (setting up new users, upgrades, phone or computer issues, etc.).

•Liaison with the Administrative Services Bureau for building and safety issues (lights, carpeting, cleaning etc.).

•Oversee office moves and make arrangements to move furniture and equipment.

•Point person for assigning attorneys file space for files and boxes.

•Review attorney and staff timesheets and assure that appropriate changes have been made. Submit to DSG after review.

•Fill in as needed to assure that other clerical staff is able to complete their work in a timely manner.

•Maintain inventory and order office supplies on a bi-weekly basis.

Perform secretarial tasks

•Type, format, and modify legal documents (including briefs, motions, answers, letters, etc.) often under short deadlines as assigned by the attorneys.

•Assist with service and filing of legal documents.

Perform other duties as assigned.
