Salary RangeFrom $45018 to $54678 Annually
Minimum Qualifications Candidate must be currently employed by NYS with one year or more of permanent or contingent-permanent service as an Office Assistant 3 (SG-14) OR be currently employed by NYS with one year or more of permanent or contingent-permanent service in a title at or above a SG-12 and be eligible to transfer to Office Assistant 3 under Section 70.1 of the NYS Civil Service Law.
Duties Description Duties include, but are not limited to:
• Serves as agency’s primary researcher and purchaser of supplies, furniture, equipment, promotional products, and other services & commodities. Holds Procurement Card and monitors expenditures while maintaining all quote & approval history, order confirmations, packing slips, & invoices for reconciliation in SFS.
• Researches OGS Contracts, obtaining price quotes for a variety of services & commodities. Maintains relationships with preferred sources & contract vendors.
• Updates Supply Requisition Form for changes in preferred source/contract offerings. Reviews & processes supply requisitions from Agency Supply Coordinators.
• Oversees billing and maintenance of accounts and spreadsheets for all OMIG offices including but not limited to: OGS bills/accounts (fuel, print shop, interagency mail, etc.), telecommunications accounts, access control accounts, Pitney Bowes, etc.
• Reviews all lease related expenses including: rental payments, electric bills, work orders, tax and real estate escalations. Maintain lease related spreadsheets and binders.
• Assists with space planning & on/off boarding activities, including updating of agency floor plans, space charts, setup of workstations, etc.
• Assists with Health and Safety initiatives including but not limited to: AED Management; Flu Vaccine Program, Office Ergonomics & Reasonable Accommodations, Workplace Violence Prevention, etc.
• Serves as backup for Front Desk Support & distribution of Operations Helpdesk tickets.
• Excellent written, communication and interpersonal skills. Strong attention to detail and ability to meet deadlines.
Additional Comments Minimum travel may be required.
