Duties Description • Manage initial contact and messaging to new hires for Mandatory Training, JCOPE, AG Academy, Continuing Legal Education (CLE) Program and other required training efforts that may arise. Manage attendance lists and reports for compliance. Manage follow-up communications to non-compliant employees.
• Manage registration, reporting, and follow-up on non-compliant employees for mandatory HIPPA and Cyber Security training.
• Coordinate the creation of Marketing and Communications for CLE and Professional Development courses.
• Manage the Training and CLE mailboxes; respond to questions, forward to appropriate staff for resolution, track all replies on a timely basis.
• Provide employee and program tracking and reporting for the AG Academy. Follow up on non-responsive employees.
• Manage the AG Academy certificate program through the Statewide Learning Management System (SLMS).
• Assist Bureau managers in planning, development, and delivery of programs.
• Assist in courseware preparation, copy editing, PowerPoint preparation, and creation of training manuals.
• Manage all CLE announcements. Maintain accurate record keeping and audit agency attorney’s folders to ensure that proper credit was given and that all certificates are accounted for.
• Review and edit bureau intranet content for accuracy and timeliness. Provide planning and logistics for future content and updates. Contact Webmaster with issues.
• Answer main phone line, responding to questions and referring calls to appropriate staff member.
• Maintain Professional Traineeship database for all employees serving in a traineeship.
• Serve as the agency SLMS Administrator: Approve enrollments for SLMS training course, provide troubleshooting, and grant Learning Licenses, as appropriate.
• Manage Training Room Logistics and Scheduling; set up laptops and projector for trainings.
• Provide travel planning and coordination for Bureau Director and staff.
• Track all items needing the Bureau Director’s signature (purchase requests, travel forms, etc.).
• Provide administrative support for the Practicing Law Institute (PLI) programs.
• Prepare and update project management charts and reports for Professional Development programs.
• Schedule and coordinate meetings and interviews.
• Maintain and order supplies for Bureau.
• Perform other duties as assigned.
