Duties Description • Review, sort, and distribute mail to assigned Assistant Attorney General (AAG).
• Open cases on agency database, Silvercase. Manage physical case files. Archive closed case files.
• Enter information about case status and case events in tickler system.
• Process and file Labor Law 215 notices, by entering information in a spreadsheet and filing hard copies.
• Perform data entry projects; audits of underpayments require entry of data, such as paycheck recipients, dates, and amounts.
• Prepare cover letters, fax cover sheets, and envelopes for mailing of AAG letters.
• Perform word processing, proofreading, and formatting of documents. Photocopy, scan, fax, and print documents as needed.
• Prepare intake schedule, by polling AAGs regarding days out of office and assigning intake days on a monthly basis.
• Answer phones for Bureau Chief and Deputy Bureau Chief. Answer phone when AAG is absent or away from their desk.
• Maintain calendar for Bureau Chief, Deputy Bureau Chief, and Section Chiefs if desired.
• Schedule all travel arrangement aspects for AAGs, as needed.
• Complete and prepare AAG travel vouchers for processing.
• Schedule staff meetings and interviews for Bureau vacancies.
• Retrieve applicant information from recruitment database; save and email applicant information to applicable supervisors for review.
• Prepare for new employees, by requesting business cards, work phone; organize/clean work space.
• Order supplies for Bureau.
• Ensure that IT or appropriate personnel are informed regarding problems with office equipment and ensure problems are resolved.
• Deliver and/or retrieve time sensitive items from print shop, managing attorney's office, mail room, etc.
• Assign and distribute work to clerical staff, including multiple rounds of envelope stuffing and mailing.
• Assist with mail merges as needed: distribution letters, letters to employers, etc.
• Assist with affidavits of service and serving litigation papers.
• Perform other duties as assigned.
Additional Comments This position is in the Labor Bureau of our New York City Executive Office.
