Minimum Qualifications Qualified applicant must currently have permanent or contingent permanent status as an Office Assistant 1-Keyboarding in a New York State Agency; OR eligible for transfer OR be reachable on the Civil Service List.

Duties Description The incumbent will be responsible for, but not limited to the following duties:
• Greet visitors, answer telephones, respond to medical inquiries and refer questions to the appropriate staff.
• Maintain manual and automatic files of correspondence, documents, medical files, files new material and searches for requested material.
• Review work to ensure conformance with accepted office practices including correct layout, spelling, punctuation, and grammar, explain any problems and discuss solutions. Receive and organize work to be typed and determine document format. Proofread and correct work to produce accurate, clean and complete copies. Prepare standard reports by accessing database and formatting required data.
• Type correspondence, documents, records, and other written material in final or draft using handwritten or rough drafts, marked copy, and data from other sources.
• Type and develop monthly Nurse’s and Doctor’s on Call schedule and Nurse’s Monthly Work schedule.
• Open, review, sort and distribute the mail in accordance with staff assignments.
• Assist with coordination of yearly flu vaccines, trainings and meetings.
• Use programs such as standard word processing, spreadsheet, electronic mail, database management desktop publishing, electronic calendar and integrated software package.
