Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.
Duties Description This position is in the Department of Environmental Science and Biology.
The Secretary will serve as the gatekeeper and the administrative assistant to the Chair; serve as primary contact for internal and external audiences; take primary responsibility for tracking the status of undergraduate majors and minors, and assigning students to advisors; administer work study students; maintain the department's filing system; maintain database of undergraduate and graduate alumni; and perform miscellaneous duties related to the day-to-day operation of the department.
Primary Responsibilities:
Serve as gatekeeper and administrative assistant to the Chair.
Assume primary responsibility for ensuring that departmental products are produced in a timely and accurate manner, and that departmental operations run smoothly; maintain filing system, track status of undergraduate majors and minors; assign advisors; maintain database of alumni; maintain budget spreadsheets for department.
Serve as primary contact for internal and external departments audiences; arrange tours for prospective students; prepare and distribute department newsletters; serve as central contact for Lennon Hall; correspond with prospective students; prepare and distribute recruitment materials; maintain department bulletin boards.
Provide administrative overview for, and coordinate, work study students.
Preferred Qualifications:
A working knowledge of Microsoft Word, Excel, Publisher, and PowerPoint. Ability to perform basic spreadsheet functions. Ability to maintain department computer files in a coherent and logical manner. Ability to interact with the public, students, staff, and faculty in a friendly and courteous manner. Ability to perform duties in a timely and competent manner.
