Position Summary:
Chart Room:
1. Pulling charts for appointments and delivering to the appropriate clinic
2. Pulling charts for other requests, such as audits, patient family review, billing review, etc.
3. Re-filing all returned charts
4. Fulfillment of Duplication of Records requests
5. Sending/receiving faxes containing PHI for faculty, staff and students
6. Archiving inactive records
7. Following all HIPAA guidelines
8. Scanning of documents into a document management system
Dental Clinic Patient Admissions:
1. Enter and maintain availability of appointments in computer.
2. Print schedules and recall lists.
3. Schedule patient appointments in computer by using recall lists and from patients who call the school.
4. Cancel and re-schedule patients due to staffing requirements and by patient request.
5. Maintain a waiting list of patients to fill cancellations.
6. Telephone patients to confirm upcoming appointments.
7. Monitor patients that require pre-medication, pull charts and distribute to appropriate staff for review.
8. Record patient change of address on appropriate form and route to Patient Records.
9. Complete Case Completion/Termination form as needed, for discharge of patients.
