Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.
Duties Description Summary of Position:
Management of all secretarial and clerical activities of the department; assist the chair in the day-to-day functioning of the department: organize and maintain files, assist in record keeping, property and key control, access the College online resources such as Banner and SMRT, gather necessary information to assist the chair in class scheduling and budget management, etc.
Essential Functions:
Prepare necessary paperwork for faculty/staff/student appointments, search committee activities, departmental major handbook, travel reimbursements, equipment and supply purchases, service contracts and equipment repairs. Assist the department for ABET Accreditation. Monitor activity on the above.
Train and co-supervise a team of student workers (office, lab assistants, and tutors); delegate office responsibility, monitor their work, handle processing of timesheets and paychecks for lab assistants and CS tutors.
Monitoring departmental majors, correspondence with prospective students, distribution of flyers announcing special programs and lectures.
Handle the department's academic and non-academic obligations. Prepare and mail acceptance letters to new students w/accompanying information on department and faculty. Prepare and distribute IAS/Student Comments Forms and scoring headers to faculty for each course offered. Collect completed forms and forward to appropriate offices. Collect and record e-mail addresses of selected graduating students.
Monitor departmental budget activities; execute VISA reconciliation as required by Albany. Prepare and execute appropriate forms related to hiring of new faculty, both adjunct and full-time. Assist in preparation of computer and equipment replacement requests, assist in CS grant purchasing, and monitor computer/equipment inventory. Make travel arrangements, as requested by faculty, and prepare travel vouchers with accompanying documentation after travel has been completed.
PREFERRED QUALIFICATIONS:
Excellent communication and interpersonal skills.
Excellent organizational skills, ability to prioritize work.
Interest in working independently with minimal supervision.
Ability to use word processing and other Microsoft Office software.
Ability to use or learn to use College online resources.
Prior experience in an academic office.
