Duties Description The Office Assistant 2 will be assigned to the Employment Records Section (ERS) List Maintenance/Phone Tree Unit. Duties may include, but are not limited to the following:
• Provide telephone and email assistance to the public, other New York State agencies, the Business Services Center (BSC) and Civil Service Staffing Services Representatives;
• Provide clerical, administrative and office support including data entry, records maintenance, transaction processing and information retrieval and verification;
• Review and process requests to remove list declinations, correct addresses and process list change notices;
• Respond to a variety of candidate and employee requests;
• Navigate and utilize various internal systems such as the Eligible List Management System (ELMS), NYSTEP and LookUp to verify candidate and employee information;
• Prepare forms and correspondence as needed;
• Maintain files and procedures in accordance with established policies;
• Maintain tracking logs and create reports;
• Work with Eligible List Unit staff to process candidate score notices;
• Assist Certification Unit in processing NYSTEP appointments and work with State agency personnel offices on eligible list certifications.
The incumbent of this position must be able to work independently, be attentive to detail and work well under pressure in a challenging environment. The candidate must able to demonstrate strong customer service and communication skills while working with a wide array of diverse individuals. Proficiency using Excel, Word, Outlook and internal system such as ELMS, NYSTEP and Lookup is preferred.
