Minimum Qualifications You must hold or have held the title of Office Assistant 1 (Keyboarding) or be reachable on the full-time NYS Civil Service list and respond to canvass letter that will be sent to people on the eligible list.
1. MEDICAL RECORDS-
- Works in Electronic Medical Record (EMR) system (PointandClick/PnC)
- Follows established Policies and Procedures for medical records (scanning, filing, confidentiality, release of information, shredding etc.)
- Scans new documents into EMR as able/as needed throughout the day
- Keeps appropriate logs (requests,etc)
- Pulls occasional paper charts as needed
- Provides for mailings, faxing, shredding and filing as needed per policy and procedure
- Able to access on line information from various sources per policy and procedure and privacy guidelines ( sources such as hospital, lab, state immunization site and campus Banner site)
- Other needs as necessary

2. CLERICAL DUTIES
- Assists in answering high volume of phone calls in very busy office for:
(a) Screening calls and scheduling non-urgent appointments
(b) Answering questions about immunization, health history/physical exam requirements (NY state laws and college policy)
(c) Explain Student Health Service role, services and hours
(d) Work with other campus offices while following Student Health Service policies and patient confidentiality
(e) Other duties as needed
*ANY call with medical questions from a student will be referred to an RN or clinician and /or a triage note in EMR will be generated and forwarded to an RN

- Provide for various typing needs such as: correspondences ? general and confidential, policies and procedures, brochures, informational handouts
- Provide for : copying, requests to duplicating, sending and retrieving faxes, opening ? date stamping- delivering office mail, scanning into EMR of information received after reviewed
- Take payments (check, cash, credit card) for items such as: immunizations, tuberculin skin tests, requests for record copies, flu clinics
- Assist Secretary I and Associate Director in ordering non medical and medical supplies as needed; has procurement card access for purchasing of needed items, keeps log of expenses/ordered items,
- complete and submit purchase orders as needed, work with vendors, campus purchasing and accounts payable
- Able to process work orders as needed
- Able to set up voice message if needed and work with telecommunications on phone issues as needed

3. FRONT DESK DUTIES
- Helps at front desk by signing in students who present for appointments
- Refers "walk-in" students to triage RN to make appointment
- At ALL times, medical questions/triaging is referred to RN or clinician

4. DATA ENTRY
- Assists secretary 1 in managing immunization compliance in PointandClick EMR system.
- Scans paper copy of immunization records into PnC and forwards paper copy to RN for review upon receipt
- Enters any immunization given at SHS into NY state immunization system (NYSIIS) as required by state law and Student health Service policy
- Uses EMR for all medical record charting

5. Able to fill in briefly for Secretary I as necessary
- Is aware of assisting with needed information for :
contacting of computer center for information
reminder and letter mailings for missing required information (immunization/health history/physicals), religious and medical exempt rules and reviews, legal counsel contact and chart reviews by college physician, knowledge of the Post ? Secondary Immunization report done annually and submitted to NY state Department of Health

6. Relates/interacts in positive professional manner with co-workers, students, campus staff and offices, and the general public.

7. Is encouraged to be involved in continuing education activities such as computer classes, etc.

8. Has yearly OSHA/PESH training and at least biannual Heartsaver training.

Duties Description Serves as office support staff at Student Health Service. Serves at front desk checking in students, documents in electronic medical record system, scans documents and helps with flow of data and files in the office.
